Welcome! The Registrar's Office is responsible for coordinating course and room schedules and enrollment verification. Other services include graduation certification, transfer credit evaluation, and the coordination of Veteran's Education Benefits.
Please note that the Registrar's Office is the official custodian of student records and is responsible for the implementation of academic policies. We record grades and other information, but we do not assign or "give" grades. We also interpret and enforce college policy, but do not create or write policy.
The Family Education Rights and
Privacy Act of 1974
The Office of the Registrar follows the Family Education Rights and Privacy Act of 1974 (as amended) that guarantees students the right to review and inspect their educational records and files.
For each student, the Office of the Registrar maintains the following records: (a) the application for admission; (b) official high school transcript or GED; (c) withdrawals from the College or courses; (d) the transcript for coursework completed at Jarvis Christian College and official transcripts for coursework completed at other colleges/universities, as appropriate.
When applicable, a student's file folder contains: probation/suspension letter, declaration of major/minor form, change of major/minor form, change of grade form, course substitution/waiver form(s), and the degree plan.

Change of Grade
A grade change must be submitted on the appropriate grade change form, signed by the instructor, department/division chair and the Academic Dean. The grade change form is not official until the change is recorded in the Office of the Registrar.
Substitution of Courses
If for good and sufficient reasons it becomes necessary for students enrolled in the College to substitute courses in their prescribed program, they are to secure the appropriate forms from the Office of Academic Affairs and secure the approval of the advisor, department/division chair, and Office of Academic Affairs. Only when the form has been processed and filed in the Office of Registrar are the substitutions official.
Withdrawal from the College
A student who wishes to withdraw from the College before the end of the semester must make an official request for withdrawal through the Office of Student Affairs and must complete the Request for Withdrawal form and obtain signatures of appropriate administrative officials. After the student obtains the signatures of the designated administrative officers and the form has been processed in the Office of the Registrar, the withdrawal is considered official. Students who leave the College during a semester, but fail to withdraw officially, are assigned grades of "F" for the courses in which they are enrolled.
Release of Transcipt
The cost ($3.00) for an official or unofficial transcript is payable by money order or cashier's check. If paying by credit card you will need to contact the Business Office at (903) 769-2727.The transcripts cannot be released if account balances have not been satisfactorily settled with the College. Transcript requests must be in writing as student information is not to be released without the written permission of the student per the Family Education Rights and Privacy Act of 1974. Official transcripts normally take two business days to process. During busy times of the year, (January, May, August) the process may take longer.
Veteran's Affairs
The College provides a Veterans Affairs Coordinator whose office is located in the Registrar's Office. The VA Coordinator provides information to you regarding educational benefits from the Department of Veterans Affairs (DVA), assists you in applying for your GI Bill benefits, certifies your enrollment to the VA for payment each semester you attend, and assists in resolving pay problems.
