Position Title: Business Manager

DESCRIPTION

The Business Manager will be responsible for data entry, accounts payable, payroll and oversees the management of the business office. The Business Manager will work closely with the all functions within the business office to ensure that the office achieves its administrative goals and daily objectives. The Business Manager will interact and work directly with the Assistant Vice President for Finance and Administration/Controller.

FLSA Status: Exempt: Not eligible for overtime

    EDUCATION AND QUALIFICATIONS

    Education

  • Bachelor's degree in Accounting, Business, Finance, or related field or equivalent combination of education and related work experience
  • Work Experience:

RESPONSIBILITIES

  • Verify, record, and post a variety of financial transactions in accordance with Generally Accepted Accounting Principles and Institute policy
  • Compile and analyze financial data, often complex in structure, and generate related schedules and reports
  • Interpret and analyze financial data and transactions
  • Prepare accounting reports associated with A/R, A/P, P/R, F/A and other similar financial activities
  • Monitor and review accounting reports for accuracy and completeness
  • Review, prepare, and process accounting transaction related entries of moderate complexity
  • Reconcile charges posted to student accounts and prepare payments for Housing, Bookstore, and Insurance invoices
  • Assist in the preparation of budgets, budget status reports, and budget modifications
  • Prepare and participate in the posting all journal entries for accounts payable, payroll, billings, cash transactions, accruals and cost transfers
  • Invoice funding sources and prepare related reports
  • Review and prepare bank reconciliations
  • Exhibit knowledge of internal controls and automated accounting systems

Position Title: Vice President for Administration and Finance

Founded in 1912, Jarvis Christian College (JCC) is a historically Black liberal arts, baccalaureate degree granting institution affiliated with the Christian Church (Disciples of Christ), serving a population of nearly 2,000 in Hawkins, TX, which is inclusive of the external community. JCC enrolls approximately 603 students. Nearly 12 academic majors are spread among 32 undergraduate programs and certifications. JCC has a diverse faculty, staff and student body, with approximately 20% of the campus population being of non-African American decent.

The Vice President for Finance and Administration is the chief financial officer of the College and reports to the President. Responsibilities include the establishment and oversight of sound systems of accounting, financial operations and reporting, facilities planning and supervision, campus security and information technology.

The Vice President directly supervises the following persons/units:

Specific functional duties and responsibilities:

  • Coordinate the preparation of the annual budgets and present such budgets to the Jarvis Christian College Board of Trustees.
  • Develop, formulate, supervise, administer, and recommend policies on accounting, financial planning, control and protection of university assets, inventories, grants and government reporting.
  • Develop, negotiate, and authorize contracts and agreements.
  • Supervise control of all financial records of the institution.
  • Supervise all activities related to physical plant operations.
  • Coordinate space management procedures.
  • Provide for a safe and secure campus.
  • Collaborate with the vice presidents and other campus constituencies in the consideration, discussion, and implementation of programs and services that support student learning.

Minimum qualifications:

  • Bachelor's Degree (Master's Degree preferred) in accounting, finance, business administration, management, or other directly-related field from a regionally-accredited institution.
  • Minimum of ten years of progressively responsible financial, administrative, and supervisory experience in leadership positions at a regionally accredited institution of higher education.

Preferred qualifications:

  • Demonstrated financial, investment, and strategic management skills.
  • Exemplary skills in communication with a wide variety of audiences.
  • Demonstrated skills in the supervision of multiple complex administrative units.
  • Demonstrated decision-making abilities.
  • Experience with reaffirmation process of the Southern Association of Colleges Commission of Colleges or other regional accreditation experience.

Position Title: Director of Financial Aid

General Statement of Function
Plans, develops, organizes, and coordinates the College's Financial Aid Services and Federal Work Study Program. Analyzes and awards financial aid packages, assuring compliance with federal, State and program requirements. Coordinates and performs daily functions of the Financial Aid Office.

Minimum Education/Experience Required

  • Experience in Jenzabar including Power Faids, Infomaker and other financial aid applications
  • A Master’s degree from a four-year college or university in business administration, education, or related field, preferred or a bachelor’s degree in an appropriate area of specialization and at least 4 years of appropriate experience
  • At least 5 years experience with student financial aid programs
  • Demonstrated basic accounting skills and business office experience
  • Demonstrated knowledge and expertise in the administration of state and federal student financial aid programs including legal requirements, deadlines, and reporting requirements.
  • Working knowledge of Microsoft applications (i.e., Word, Excel, & Outlook)
  • Attention to detail and responsiveness to students and other College personnel is imperative
  • Ability to multi-task and meet as well as exceed job expectations with limited supervision
  • Excellent communication skills (both verbal and written)

Duties and Responsibilities

  • Assist the Vice President of Administration and Finance with the administration of all financial aid programs
  • Originate and certify Federal Direct and Stafford Loans, and other federal and institutional loans
  • Use comprehensive knowledge of financial aid processes (i.e., packaging, loan processing, verification, etc.) to counsel students and parents in financial aid eligibility, policies, and procedures
  • Monitor and ensure compliance of federal, state, College, and private financial assistance programs
  • Assist in developing and enhancing policies and procedures as needed
  • Assist with the overall administration of federal, state, and College aid programs for new and returning students
  • Collaborate with College liaisons to award financial aid packages to new and continuing students
  • Develop and maintain a financial aid webpage
  • Conduct large group and individual information sessions under the supervision of the Vice President of Administration and Finance
  • Work closely with Admissions and Student Affairs in providing outstanding customer service to achieve common goals including student recruitment and retention
  • Reconcile financial aid accounts
  • Collaborate with the Vice President of Administration and Finance to develop effective aid packaging strategies to make efficient use of available resources
  • Assist in providing leadership and guidance to students, parents, and the College community
  • Maintain current knowledge of the regulations, policies, and application requirements and eligibility criteria for financial aid and scholarship programs, including computer hardware and software enhancements
  • Ensure timely and accurate disbursement of all student aid
  • Confirm student eligibility for aid programs
  • Assist in handling escalated issues related to students regarding the financial aid application and award process
  • Collect, compile, and analyze data as needed
  • Provide recommended actions to the Vice President of Administration and Finance on current and future processes and issues
  • Provide technical expertise concerning student loans, grants, scholarship, and other types of financial aid available for students
  • Prepare and submit a variety of statistical and narrative reports, either orally or in writing and make recommendations as needed to the Vice President of Administration and Finance
  • Work with the Vice President of Administration and Finance to develop and manage the distribution of outreach brochures, flyers, and other materials publicize financial aid opportunities for students

Position Title: Administrative Assistant – Upward Bound Program

General Statement of Function
This individual reports to the Director of the Upward Bound Program and is responsible for providing administrative support to staff and assuming bookkeeping, reservation, and reception. These duties include but are not limited to: database system maintenance and training, office supply purchasing, typing, filing, reception and telephone duties. FLSA Status: Non-exempt.

Minimum Education/Experience Required

  • A bachelor’s degree from a four-year college or university required
  • Efficient and accurate data entry skills
  • Intermediate knowledge of MS Word and Excel
  • 5 years’ experience with clerical, administrative, and strong customer services skills
  • Ability to multi-task
  • Excellent communication skills and professionalism
  • Experience working in higher education required

Duties and Responsibilities

  • Provide advanced secretarial skills for performance of typing, filing, record-keeping, correspondence and reception duties
  • Schedule meetings and appointments, maintaining files, gathering, compiling, typing and disseminating information regarding the departmental function within the College
  • Receive visitors, convey telephone messages, answer questions for students, faculty and staff; distribute mail and maintain files for the office
  • Type correspondence, tests, forms, reports and other documents required of the office
  • Perform all tasks with accuracy under close time limitations
  • Perform other related duties as assigned by the supervisor to enhance the operation of the office
  • Routinely inform administrator/manager of schedules, obligations and commitments

Duties and Responsibilities

  • Improve the operational systems, processes and policies in support of organizations mission specifically, support better management reporting, information flow and management, business process and organizational planning
  • Play a significant role in long-term planning, including an initiative geared toward operational excellence
  • Management of agency budget in coordination with the Assistant Vice President of Finance and Administration/Controller
  • Oversee all financial management, planning, system and controls
  • Invoicing to funding sources, including calculation of completed units of service
  • Disbursement of checks for agency expenses

Position Title: Property and Inventory Accountant

General Statement of Function
The Property and Inventory Accountant is responsible for inventory and property control for the campus

Minimum Education/Experience Required

  • Bachelor's degree in Business Administration, Accounting or related field and two years of experience in property/inventory control preferred

Duties and Responsibilities

  • Manages the physical inventory of all campus property
  • Compiles and maintains records of quantity, type, and value of material, equipment, merchandise, or supplies stocked in establishment
  • Counts material, equipment, merchandise, or supplies in stock and posts totals to inventory records
  • Serves as leader with respect to database management relating to property and inventory control
  • Maintains accurate inventory data records and files with descriptions and locations
  • Compares inventories to office records or computes figures from records, such as sales orders, production records, or purchase invoices to obtain current inventory
  • Monitors maintenance of computerized identification system for capital equipment purchases; assigns numbers to new equipment and deletes surplus equipment; distributes identification tags and monitors revision of files and records
  • Searches for and acquires equipment, supplies or storage to meet College department needs

Position Title: Database Administrator

Description
The Database Administrator oversees all database systems for the College and acts as the liaison support for users and the Jenzabar system. The Database Administrator is responsible for keeping data secure by managing access, privileges and information migration. Database administrator is also responsible for installing and configuring database management software, translating database design and diagnosing database performance issues including user training. This position reports directly to the Director of IT.

Knowledge and Skills Requirements:

  • Bachelor's Degree from an accredited college or university with a major in Computer Science, Information Systems or a closely related field
  • Minimum of 3 years of professional IT experience
  • 2 or more years of experience creating, updating, and maintaining campus-wide database systems
  • Experience with CRM and IT initiatives, project coordination, and direct user support
  • Demonstrated success in multitasking, thinking critically, and meeting deadlines
  • Exceptional oral and written communications skills
  • Proficient in Jenzabar, JICS and PowerFaids

Performance Responsibilities

  • Responsible for maintaining, modifying, updating, and providing quality assurance and performance-tuning for database, according to software specifications, IT protocols, and established business rules/li>
  • Conducts monitoring of appropriate primary and secondary sources to update database
  • Performs quality control audits to ensure accuracy and completeness of data.
  • Identifies maintenance and enhancement issues relating to database design and integration with new and existing applications and systems (local and web-based)
  • Ensures that data integrity issues are identified and proactively addressed.
  • Formulates and documents database policies, processes, procedures, and standards relating to data entry/maintenance to facilitate work across multiple applications throughout organization
  • Produces documentation for users; responds rapidly to users requests for assistance
  • Builds and maintains strong, trusting relationships with non-technical users, as well as with technical coworkers in software development roles, in identifying database performance gaps and emerging opportunities, and addressing user needs and issues

Position Title: IT Support Technician

Description :
The IT Support Tech is a hands-on, technical resource member of a team that provides support for all software and hardware within the College’s IT environment. The Support Technician will report directly to the Director of IT.  The Support Technician is responsible for providing support to all users with their computer and phone needs.

Education

  • Bachelor’s degree preferred in Computer Science or related field.
  • A+ and Microsoft Certified Professional or relevant certifications supplemented with one or more courses in current technology are preferred, or 1–3 years of relevant work experience in the field.

Experience

  • Experience as an IT Support Engineer on a medium sized network of servers, desktop systems and communication devices using current technology including Jenzabar EX (CRM) and JICS/E-Racer (LMS) preferred.
  • Preferred 1-3 years experience in higher education or learning environment.
  • Preferred experience with Jenzabar

Skills

  • Demonstrated knowledge of Windows desktop products.
  • Demonstrated knowledge of setting up new users with access to the network.
  • Demonstrated ability to support networked printers and photocopiers.
  • Demonstrated working knowledge of current communications devices.
  • Ability to educate users in using various applications such and Microsoft Office.

  • Assist in supporting the help desk with desktop hardware, software and applications.
  • Enforce policies and procedures for the maintenance of a secure and environmentally sound operation;
  • Rolls out hardware and software to ensure optimal deployment of resources.
  • Assists with technology planning through ongoing research.
  • Ensures the help desk work orders are addressed and or completed correctly.

Position Title: Math Lab Coordinator

Description:
The Math Lab Coordinator provides liaison between the Mathematics Department and Student Academic Success or other Campus entities with the purpose to help students succeed in Mathematics and to promote Mathematics. The Coordinator develops strategies leading to increased student performance in Math and assists with the implementation of these strategies.

Qualifications

  • Bachelor’s degree in Mathematics and 3+ years of experience in teaching Mathematics.
  • Master’s preferred.
  • Experience in Math work with underprepared students required
  • Experience with programs geared toward helping students with math is a plus
  • Excellent communication and people skills are a must

RESPONSIBILITIES

  • Serve as the liaison between the Math Department/Faculty and Student Academic Success
  • Collaborate with faculty to provide academic assistance to students in the Math
  • Promote Mathematics on the Campus
  • Identity Math software and online teaching tools
  • Development Math assessments for data collection and student progress tracking
  • Manage & oversee the Math lab
  • Perform other duties as assigned

Position Title: Academic Advisor

General Statement of Function:
Under general supervision of the Director of the Student Academic Success, the Advisor will assists students in developing and implementing a good intensive academic environment conducive to the students holistic learning and success at Jarvis Christian College; their primary responsibility will be to advise freshmen students as it relates to class scheduling.

Minimum Education/Experience Required

  • Minimum Requirements: Bachelor's degree with experience working with student population in higher education; Master's degree preferred

Duties and Responsibilities

  • Provide one-on-one advising to the students
  • Monitor assigned caseload by preparing and maintaining appropriate contact, notes and reports on all students
  • Develop and conduct workshops/educational sessions that promote students interpersonal and academic growth
  • Coordinate, track, and prepare report pertaining to students' progress in class work
  • Develop an academic plan for student success in college
  • Administer campus-wide tests following test protocols
  • Referral of students to the appropriate resources on campus
  • Prepare and submit required report to the Director of Academic Success as needed
  • Perform other related duties as assigned
